About the challenge

We are excited to present our project for the Devpost hackathon: a website designed to handle rental management for UCAN Chicago, a non-profit organization dedicated to empowering youth and families to build strong foundations for the future.

UCAN Chicago's mission is to support and guide individuals through transformative experiences, focusing on areas such as trauma recovery, education, and housing. Our website aims to streamline their rental management processes, making it easier for staff, tenants, and donors to interact efficiently.

Key features of our rental management website include:

  • Tenant Management: A user-friendly interface for managing tenant information and rental agreements.
  • Maintenance Requests: A system for tenants to submit requests and for staff to track and manage these requests.
  • Communication Tools: Built-in messaging features to facilitate communication between tenants and UCAN staff.

Our goal is to enhance UCAN Chicago's operational efficiency, allowing them to focus more on their core mission of supporting the community.

Requirements

Submission Criteria for Fleet Management System

Functional Requirements:

  1. User Authentication:
    • The system should allow approved drivers (Fleet.Request1, Fleet.Request2, etc.) to log in using their assigned SharePoint credentials.
    • The system should validate user credentials and ensure that only approved drivers can access the fleet management site.
  2. Vehicle Request Form:
    • The system should provide a digital vehicle request form that aligns with the attached vehicle request form.
    • The form should capture all necessary information, including vehicle type, pickup and drop-off locations, and dates.
  3. Approval Workflow (Residential Use Case):
    • The system should send the vehicle request to the manager (Fleet.Manager1, Fleet.Manager2, etc.) for approval.
    • The manager should be able to approve or reject the request with comments.
    • If approved, the request should be forwarded to the Facility Manager (Facility.Manager) for vehicle allocation.
  4. Approval Workflow (Other Locations Use Case):
    • The system should send the vehicle request directly to the Site Manager (Facility.Manager) for vehicle allocation.
  5. Vehicle Return Form:
    • The system should provide a digital vehicle return form that is related to the original vehicle request.
    • The form should capture information about the vehicle's condition, mileage, and any issues.
  6. Verification and Closure:
    • The Facility Manager should be able to verify the vehicle's condition and close the request if everything is in order.
    • If there are issues, the Facility Manager should be able to add comments and send the form back to the UCAN staff member.

Non-Functional Requirements:

  1. Integration:
    • The system should integrate with the existing SharePoint site and use the provided environments.
  2. Usability:
    • The system should provide an intuitive and user-friendly interface for all users.

Testing Criteria:

  1. Test the user authentication and authorization process.
  2. Test the vehicle request form and approval workflow for both use cases.
  3. Test the vehicle return form and verification process.
  4. Test the integration with the SharePoint site and environments.

Submission Requirements:

  1. Provide a fully functional fleet management system that meets all the functional and non-functional requirements.
  2. Include a user manual or documentation that explains how to use the system.
  3. Provide test cases and results
  4. Include a presentation video of upto 3 minutes
  5. Any additional functionality and refinement would be added bonus.
